Important information – Please read this before you start re-registering.

1.      If you were a 2021 registrant and plan to attend the 2022 meetings then you simply need to complete the re-registration process here. Please read Step 1 below - you will need to set up a new account. You cannot use your account details from last year.

2.      If you were a 2021 registrant but are not planning to attend and wish to transfer the credit for your registration to a colleague then you need to pass this registration form to that specific person. There is space in the registration form to organise this transfer.  We strongly encourage you to use this transfer option as opposed to a refund as it is far more cost effective for your organisation and it reduces our administration burden.

3.      If you were a 2021 registrant but are not planning to attend in 2022 and wish to obtain a refund of the amounts you are entitled to as per the T&Cs then email QT Event Collective.

4.      If you are a new delegate, please register as normal.


Other Meeting Information

Queenstown Research Week 2022 is divided into 2 blocks of meetings plus AWCBR and ASCEPT.

Once you are registered for a particular block you are free to attend any other meetings in that same block. Upon registering you will be asked to nominate the main meeting in each block you wish to attend so that we have an indication of how many are attending each meeting and can arrange venues accordingly. 

Please note, due to the risks around the possible re-emergence of travel restrictions, we will only be accepting registrations from New Zealand based participants at this stage. We will re-evaluate this policy later in the year.

Please note: ONLY the Metabolic and Cardiovascular Diseases meeting, ASCEPT AND AWCBR are open. All other meetings have reached the maximum capacity for their meeting rooms and therefore we cannot accept any more registrations for these meetings. If you would like to be added to the waitlist, please email qrw@qteventcollective.com

Your Registration Status

If you were registered, or you are replacing someone that was registered in 2021, there may be some credit being held. This will be applied once we receive your new registration, no payment is taken on this registration page.

Important to note:

- Credit held can only be used at the equivalent main meeting block e.g. anyone registered for QMB, Medsci or the satellite meetings in 2021 can use their credit to attend any of these meetings in 2022. If a delegate was registered for AWCBR or ASCEPT then the credit has to be used at the same meeting.
- Credit can be used towards a different registration type e.g. a student's credit can be used towards a post-doctoral or standard delegate registration or vice versa.
- Excess 2021 funds cannot be refunded to a 2022 delegate. For example, if a 2021 delegate registration ($400) is replaced with a student registration ($270), the remaining funds cannot be refunded or applied towards an additional persons registration. The remaining amount can however be used towards another meeting within the main meeting block or social function tickets if required.

Early Bird Deadline: Mon 18th July

  • Students and Post-Doctoral Fellows fee will be discounted by $50 for members of the Maurice Wilkins Centre.
  • MedSci registration fee will be discounted by $20 for members of the NZ Society of Endocrinology and the Physiological Society of NZ. Not a member? Join NZSE here or PSNZ here.
  • There is a limited $50 discount for the MedSci registration fee for Students and Post-Doctoral Fellows that are PSNZ Members.

Student Rate
The student rate applies to all current students who are enrolled in full time study for a degree course. Note - if you register in this category we may require you to provide confirmation of your status.
This rate also applies to high school teachers or members of community groups associated with research programmes.

Reduced Post-Doctorate Fellow Registration Rate
Anyone working in as a technician or post doctoral research fellow below level of senior research fellow.

Standard
Anyone working as an academic/research/clinical role at or above the level of senior research fellow or lecturer/assistant professor.

Commercial/Industry Registration Rate
Anyone working in a commercial organisation or anyone who does not qualify for discounted registration rates.

Registration Cancellation Policy

Any cancellation must be made in writing to The Queenstown Event Collective (QTEC) - qrw@qteventcollective.com

A refund of 50% of registration fees will be made on registration cancellations received up to 5 August 2022.

No refund will be made on any registration cancellation received after 5 August 2022.

Substitute delegates are welcome without penalty, but please advise QTEC of any name changes by 5 August 2022.

For transferred registrations, if there is an excess of funds from the 2021 registration because of differences in registration type, then this difference cannot be refunded. However, the remaining amount can be used towards another meeting within the main meeting block or social function tickets if required.

 

Functions Cancellation Policy

A full refund will be made on function cancellations received up to 5 August 2022.

No refund will be made on any function cancellation received after 5 August 2022.

For transferred functions, if there is an excess of funds from the 2021 registration because of differences in functions selected, then this difference cannot be refunded. However, the remaining amount can be used towards another meeting within the main meeting block or alternative social function tickets if required.

 

Force Majeure

In the event that the conference is cancelled by the Organisers or QTEC or by any reason or any factor outside the control of the Organisers or QTEC, the conference cannot take place; 50% of  the amount of the Registration Fee shall be refunded.

In the event that the conference is postponed by the Organisers or QTEC or by any reason or any factor outside the control of the Organisers or QTEC, the conference cannot take place; 50% of  the amount of the Registration Fee shall be refunded if the delegate cannot attend the new conference dates.

The liability of the Organisers and QTEC shall be limited to that refund and neither shall be liable for any other loss, cost or expense, however caused, incurred or arising. In particular, the Organisers or QTEC shall not be liable to refund any travel or accommodation costs incurred by delegates or their organisations. It follows that delegates and accompanying partners are advised to take out comprehensive insurance, including travel insurance.

 

Disclaimer

The Organisers or QTEC cannot accept any liability for death, injury, any loss, cost or expense suffered by any person (including accompanying persons or partners or attendant caregivers), if such loss is caused or results from the act, default or omission of any person other than an employee or agent of the organisers.

The Organisers and QTEC cannot accept any liability for losses arising from the provision or non-provision of services provided by hotel companies or transport operators. Nor can the Organisers or QTEC accept liability for losses suffered by reason of war including threat of war, riots and civil strife, terrorist activity, natural disasters, weather, fire, flood, drought, technical, mechanical or electrical breakdown within any premises visited by delegates and/or partners in connection with the Conference, nor losses suffered by reason of industrial disputes, governmental action, registrations or technical problems which may affect the services provided in connection with the Conference, nor losses suffered by reason of industrial disputes, governmental action, registrations or technical problems which may affect the services provided in connection with the Conference.

The Organisers and QTEC make no representation as to the safety, conditions or other issues that may exist at any destination. For travel advice, the Customer and Participants should contact the New Zealand Government Safe Travel website at https://www.safetravel.govt.nz

If your charges are being billed to the University of Auckland, it is your responsibility to obtain the purchase order number. Please ensure you contact the Shared Transaction Centre (STC) via the Staff Service Centre Intranet Portal to obtain a purchase order number. On request please detail you will be attending Queenstown Research Week and put the total amount per the summary below. Our supplier name is The Queenstown Event Collective Limited and our supplier number is 0000092725. Upon receiving your PO number you will need to go into the staff intranet portal and submit a request to receipt the PO, letting STC know that they have received the goods or services. Only after this will the invoice be paid.
